Follow The Rules With Email Etiquette

Do you follow the rules when you email? You know the etiquetteof email. Basically what they are is a guideline of a way of doingsomething, or not doing something that may upset another person.You may not mean to upset them, but misunderstandings are easy tohappen, sometimes over something that is very simple to avoid.Following are simple rules or etiquette for you to follow to avoidany problems.

1. Before sending off that email message, take another look, makesure you don’t have something on there you don’t want to send. It’sa very quick step and you’ll be done in a few minutes and might beable to avoid a huge misunderstanding.

2. Avoid the “Reply All” button, there are most likely people whoare on your contact list that really don’t care to see every emailyou’ve sent out. So just reply to one person, or pick the certainpeople, but don’t do a reply to all.

3. A lot of people hate reading long emails, so keep your emailsshort. You don’t have to be super short, but don’t ramble on and onin your message, all it does is make people delete it withoutreading what may well be something important.

4. Make sure that you format your replies properly, in fact be lazywhen replying. Sometimes copying from an original message may seembothersome, but if it works and makes you have to write less by allmeans copy that text. And add a bit of your own information, thenyour done.

5. Make sure that you clean up your emails before you forward themon to the next person. Basically if your forwarding something for aperson to see, make sure the message is clearly there, and nothidden in a whole bunch of other crap!

6. If you’re not sure send plain text not HTML. Some email programswon’t allow the person to receive HMTL messages. If you’re not surewhat the people have who you are sending to be safe and send a textmessage instead.

7. Don’t send or forward something that is a hoax. This isirritating to your when you receive it so why forward it to others.All it is, well it’s a pain in the butt to receive something likethis.

8. Scan your emails for viruses to keep it free of problems. Makesure that your not sending a virus to your friends have yourantivirus software scan all outgoing and incoming email.

9. Subject lines should state what you are talking about, don’tthink something clever will get your message read.

10. Let people know when you have received their email. It could besomething they really want you to know, don’t make them wait, justsend off a quick message and tell them you have gotten theirmessage.

11. Before you send an attachment that is large make sure to askthe person if it’s ok. Some people may want you to break it intosmaller attachments.

12. Try and stick to one subject per email. If you talk aboutseveral different subjects it may be hard for the person to followand remember it all.

13. Use your punctuation, it matters even in emails. Try and makethe message easy to read by punctuating correctly.

14. Try to avoid those cute little acronyms, they can be confusing.LOL, IDK.

15. Avoid all caps people tend to feel you are shouting when youtype that way.

16. End messages with a thanks. If you’re not sure what to put downat the end of an email it’s best to put thanks.

Follow these rules and it will make your email less irritating thenpreviously if you hadn’t followed these simple rules. Just rememberthat if you’re talking to a really good friend, you don’t need tochange the way you’ve been emailing, it may be normal for you touse acronyms and write long messages. These are to be followed whenyou’re emailing a new person, or business contact.

Twitter: A Layman’s Guide

So, no doubt you’ll have noticed that Twitter is in the news alot lately. Celebs and the web 2.0 set are signing up in droves andwith all that increased publicity has come a definite surge of newpeople looking for an alternative to Facebook’s increasinglycluttered world.

More people than ever are now answering that question that hascome to mean so much over the past few years - what are youdoing?

So, what is Twitter?
This is a bit of a tough one to nail down, it’s been referred to as’the SMS of the internet’, a social networking site and amicro-blogging site. In reality, it is all of those things. It alsofunctions as an interactive RSS feed, you can follow your favouritecompanies, newspapers and celebrities and keep up to date with alltheir news, new products or general ramblings.

At its most basic, Twitter can best be described as the ’status’bit of facebook displayed in a continually updated list. Posting amessage on your page is known as ‘tweeting’ and tweets are limitedto 140 characters each. The tweets of the people you are followingappear on your feed (equivalent to Facebook’s wall) and your tweetsappear on the feeds of people following you.

Every tweet posted appears on the main feed, for all ofTwitter’s estimated five million users to see. It’s worth bearingin mind that with five million people tweeting, the posts disappearfrom the communal feed pretty rapidly. If you choose, you canprotect your updates so only people you approve can see (handy ifyour mum or boss is a Twitterholic).

It’s a very VERY simple little setup but painfully addictive,especially because (thanks to smartphones) tweeting can be done viatext message or specific applications for iPhones orBlackberrys.

What’s with all the squiggles? @tag and #tags.
Depending just how into Twitter the people you follow are, you’llencounter a different amount of bewildering add-ons to theirtweets. The most common of these is the @tag. This simply denotesthat a single tweet is directed at one person. When mentioningsomeone on Twitter it seems to have become standard to replacetheir actual name with an @tag to their profile.

By using the @tags it becomes far easier to discern which tweetsare aimed at you and which are just the general musings of yourfollowers/followees. There’s even a tab allowing you to view justthe tweets with @tags directed at you. Be careful though, using toomany @tags to have a instant messaging style conversation with oneperson can lead to you losing followers. If you want to have anextended conversation then it’s probably best to just use the moreprivate ‘direct message’ tab.

#tags are another simple but very useful part of the Twitterexperience. When mentioning common subjects like Barack Obama or aparticular gadget #tags are often used so it becomes easier tosearch for and find tweets that interest you. The sentence ‘I can’tbelieve Barack Obama is allowed to keep his blackberry’ wouldbecome ‘I can’t believe #obama is to keep allowed his #blackberry.These tags make it easier to use Twitter’s search function to findpeople talking about common topics.

#tags can also be tacked onto the start of tweets to show theirsubject. For example many people who tweet for large news companiessuch as CNN or BBC start their tweets with #news.

What about pictures and stuff?
We’ve all been using Facebook for ages now, we’re used to quietlytrawling through our friends’ albums at lunchtime and giggling toourselves at their drunken antics. On the surface, Twitter lacksthese hilarious and embarrassing photos. However, some clever soulinvented twitpic.com which allows you to upload a link to a picturehosted elsewhere. By using this service not only can you publishpictures of what you’re up to but you can do it live, as ithappens. Surely that’s more appealing?

Admittedly the games, plug-ins, gifts, superpokes, pokes,hatching eggs and quizzes are absent from Twitter but honestly, whocares? Remember when MySpace started to get all messy and stuffedwith spammers and adverts, remember what happened next? Everyoneswitched to Facebook, who knows, maybe we’re about to see the nextbig social networking exodus.

Why?
This is the hardest question to answer when it comes to socialnetworking, I was a dedicated Facebooker for years but it’s alwaysnice to try something new. The micro-blogging style of Twittersuits me. It’s not for everyone and there is something just a tinybit self-involved about publicly narrating your life online butit’s satisfying, it keeps you connected with friends and loved onesand above all else, it’s a good way to see what Lily Allen has beenup to.
